We are expanding our team and are currently inviting applications for the position of Operations (Programmes, Client Service and Corporate Support) Officer. This is a full-time, client-facing role that blends professional service delivery, project coordination, billing support, and administrative oversight. The successful candidate will play a critical role in ensuring seamless client engagement across legal, policy, and consultancy mandates.
ABOUT THE ROLE
As a Operations (Programmes, Client Service and Corporate Support) Officer, you will support the operational heartbeat of our practice. You will be responsible for managing client interactions, coordinating the firm’s programme and consultancy deliverables, and ensuring accurate and timely billing for services rendered. You will work closely with lawyers, programme leads, clients, and external partners to support the delivery of strategic engagements with professionalism, discretion, and efficiency.
This role sits at the intersection of project management, client service, and administrative control — and is ideal for a detail-oriented professional with a passion for law, development, or public interest work.
CORE RESPONSIBILITIES
Client Engagement and Service Delivery
- Serve as a key point of contact for clients, maintaining courteous, professional, and timely communication.
- Manage the client onboarding process, ensuring the necessary documentation, KYC, and engagement letters are in place.
- Coordinate and schedule client meetings, workshops, site visits, or virtual check-ins.
- Ensure clients receive updates and reports in line with engagement timelines and reporting obligations.
Programme and Project Coordination
- Support the implementation of client-facing legal and policy programmes, including technical trainings, multi-stakeholder dialogues, and consultancy projects.
- Track and manage workplans, deliverables, and milestones using appropriate project management tools.
- Assist with research, documentation, event logistics, and partner coordination.
- Maintain internal project dashboards and shared calendars to support firm-wide coordination.
Billing and Financial Administration
- Prepare and issue invoices to clients based on agreed fee arrangements and project milestones.
- Track client payments and follow up on outstanding receivables.
- Work with the Finance and Accounts team to reconcile invoices and manage billing reports.
- Support internal budget monitoring and financial documentation related to programme implementation.
Records and Information Management
- Maintain accurate and up-to-date client files, programme documents, reports, and correspondence.
- Support the documentation of impact stories, success case studies, and key learning moments for the firm’s internal and external reporting.
Business Development and Relationship Management
- Support the preparation of concept notes, capability statements, pitch decks, and fee proposals.
- Assist in identifying new business opportunities with existing and prospective clients.
- Help manage the firm’s CRM system, tracking prospects, leads, and past engagements.
- Represent the firm at networking events, conferences, and stakeholder forums.
- Contribute to the preparation of newsletters, client updates, and marketing content.
REQUIRED QUALIFICATIONS AND COMPETENCIES
- A bachelor’s degree in any .
- Minimum of 2–3 years of relevant work experience in any company, consultancy, NGO, or professional services organisation.
- Strong communication and interpersonal skills, with an ability to manage both high-level clients and administrative demands.
- Working knowledge of QuickBooks, Zoho Books, or other billing/accounting software is highly desirable.
- Experience with project management software (e.g. Zoho Projects, Trello, Asana, or Microsoft Project) is a strong advantage.
- Excellent organisational skills, ability to multitask, and attention to detail.
- A high degree of discretion, accountability, and commitment to ethical service delivery.
